Calling all strong Administrators!

 

Pertemps is looking for a Senior Administrator to support their client’s Independent Financial Advisers (IFA), carrying out tasks such as diary management, client communication, business processing, ongoing client servicing and mentoring of Administrators.

Job details:

- Salary: £25,000 - £32,000 depending on experience

- Full time - 9-5 Monday to Thursday, 9-4 Friday

Skills required:

- Highly effective time management and organisational skills

- Ability to work as part of a team

- Ability to work under pressure

- Good literacy and numeracy skills Proficient in use of Microsoft Office

- Excellent communication and interpersonal Skills (verbal and written)

- Articulate with attention to detail

- Ability to work within defined business processes

Industry experience is required for the role. 

The following are key for the role:

Client Servicing

- Preparing new business and client review packs for client meetings

- Assisting with the production of accurate client portfolio valuations statements Obtaining literature and forms from providers and pre-completing basic client details

- Obtaining Anti-Money Laundering Requirements and conducting electronic checks for new and existing clients

- Highlighting and assisting in the client review process to deal with policy queries.

 

Processing new business submissions

- To use an appropriate system to record all new business submitted to providers. 

- To record all new business and advice events accurately on back-office systems

- Liaise with product providers to ensure all applications are received, completed, and attend to outstanding requirements, communicating with relevant adviser.

- Correctly record commission and fees and issue invoices where necessary

- Produce Illustrations, valuations, report writing, analysis, fact-find, when required.

 

Managing correspondence and maintaining client files

- Linking all incoming and outgoing relevant documentation and correspondence onto client files including: All written and electronic correspondence - Conversations and emails with clients - Conversations with providers

- Ensuring electronic client files are organised and updated to ensure information is easily accessible when required.

- All ensure all client facing correspondence has been proofread Ensuring advisers produce follow-up notes to client meetings.

 

Company Compliance

- Ensuring all tasks are carried out within FCA regulatory

- Notifying advisers of any complaints received and following appropriate procedures within complaints handling process.

- Recording all correspondence

- Following Anti-Money Laundering Procedures

- Liaise with compliance or senior management when you highlight a case which you feel does not meet company policy or procedures.

- To ensure that all activity complies with company procedures.
