Our client is searching for an enthusiastic, proactive, and experienced Administrator to join their active Office and Business Support Team.

 

Job Title: Centre Administration Supervisor

Salary: £23,144 - £25,318

Location: Warwickshire (assistance at sister-sites may be required occasionally)

 

Day-to-day responsibilities will include:

- Perform general administrative duties, such as updating and maintaining records, data entry and the managing of internal information, with high accuracy

- Supporting and managing the reception area every day, providing excellent customer service, through dealing with queries in a prompt and effective manner

- Cover reception when required, for any breaks or absences and provide useful handover training for other receptionists. Cover at sister-centres may also be required from time-to-time

- Provide general IT Support such as ensuring Card Access control systems are kept relevant

- Working closely with the Property Team by performing new tenant inductions, assisting with introducing and vacating tenants and updating systems regarding tenancy changes

- Perform finance-focused administrative tasks for the Finance Team such as maintaining accurate invoice, SLA and contractors’ records, alongside updating purchase orders. Dealing with queries regarding rent, invoice and direct debits and chasing payment where appropriate. Ensure all processing mentioned follow the relevant SOPs/regulations, and communicating all updates with the Centre Manager, Finance Director, and site Solicitor (when required)

- Obtaining quotes from suppliers/contractors and starting or terminating such contracts at the discretion of the Centre Manager

- Ensure the Health and Safety of the centre is of highest standard, duties may include Fire Marshall and First Aid obligations. General Health and Safety actions such as ensuring a clean and safe environment for both internal staff, tenants and customers should also be performed daily and consistently. Additionally, arranging emergency cleaning when required

The ideal candidate will:

- Have excellent knowledge and experience in administrative programmes, such as Microsoft Office, Word, and Excel. Experience in SAP Accounting Systems is also highly desired

- Hold outstanding communication skills, with a polite and courteous approach, to both internal staff and external such as tenants and customers, and as a result, forming long-term positive relationships

- First Aid, Health and Safety and Fire Marshal training is desired but not essential as training is provided

- Perform well under pressure and be able to prioritise, organise and delegate tasks to ensure the most beneficial outcome for the whole centre

- Be self-motivated and innovative. Candidates must take initiative when performing tasks and highlight areas of improvement and suggest productive outcomes

- Be a flexible and adaptable team player

- Experience in Operations Management is desired with assisting with the Building and Facilities Manager and additionally frequent communication with tenants

- Maths & English at NVQ4/GCSE Grade C or equivalent, accurate typing and data entry is essential

- Previous experience of working in an office environment is essential and history with tenants is highly desirable
